How an engagement is carried out
The five-phase working method
SAURON LTD follows the same procedure for every engagement: scoping, document review, written operational proposal, coordinated execution, handover. Each phase closes with a document. No phase promises a result: it establishes what is done, by whom, by when and at what cost.
The five phases of an engagement
The phases do not overlap. Each closes with a written document, which the client receives before the next one begins.
01 · Scoping the request and checking the limits of activity
The first exchange serves to define the object: what is to be achieved, where, by when and under what constraints. We check whether the request falls within what the company may carry out directly. Where part of the work belongs to a licensed professional — notary, lawyer, accountant, construction contractor — we say so at this stage and not later. If the engagement falls outside our scope, we say so and stop.
02 · Document review and data collection
We read the documents before forming any assessment. For a property: title deed, skitsa (cadastral sketch), certificate of encumbrances, planning data, status of the utility accounts. For a company: articles of association, extracts from the Targovski registar (Commercial Register), contracts in force, outstanding filings. Anything not evidenced by a document or by a public register is marked as unverified and remains so until it is verified.
03 · Written operational proposal
We deliver a document setting out the work included, an explicit list of what is excluded, the sequence with estimated timings, the fee and how it is calculated, and who answers for what between the company, the client and the third parties engaged. Timings that depend on public offices or on counterparties are stated as estimates, not as commitments. No work begins before written acceptance.
04 · Execution and coordination of third parties
We carry out directly what falls within our scope and coordinate third parties for the rest: selection, comparable quotations against the same specification, verification of formal requirements, monitoring of progress and of variations. Construction works are entrusted to contractors entered in the TsPRS (Central Professional Register of Builders) and engaged by the client: the company coordinates and supervises, it does not build. The client receives a written update at an agreed frequency.
05 · Handover, documentation and transfer of files
On closing we deliver the engagement file: documents collected, relevant correspondence, permits and certificates obtained, an account of the expenses advanced. The final note lists what has been done, what remains open and who holds each original. If the work continues with another professional or passes to the client’s own structures, the material is handed over in a readable and reusable format, with no technical restrictions.
Engagement, fees and invoicing
An engagement arises from a written proposal and a written acceptance. We do not work on verbal agreements and we do not start work on a trial basis.
Fees follow three approaches, stated case by case: a daily rate, where the duration cannot be determined in advance; a fixed fee, where the content is defined; a monthly retainer, for ongoing support. Expenses advanced on the client’s behalf — taxes, official charges, translations, expert reports — are documented and recharged without mark-up. Invoicing is issued by the company in Bulgaria, under the rules applicable to the transaction.
Independence and conflicts of interest
We receive no hidden payments from the contractors, professionals or counterparties we indicate or coordinate. Where, in commercial intermediation work, a fee is due to us from a counterparty, that circumstance and its amount are stated in writing before the engagement begins. If an incompatible position arises between two clients on the same transaction, we say so and withdraw from one of the two engagements.
Remotely and on site
The documentary part is carried out almost entirely remotely. The part that requires a place — a property, an office, a building site — takes place in Bulgaria.
Remotely
Video meetings by appointment, exchange of documents over an agreed channel, written correspondence as the record of the engagement. Whatever is decided verbally is summarised in writing by the following working day. Instant messaging is not an official channel of the engagement.
On site
Inspections of the property, appointments at the notary and at public offices, meetings with the contractors, accompanying the client where their presence is required. Sofia is the operating base: travel outside the capital is agreed in advance and set out in the proposal with the related costs.
Confidentiality and handling of documents
Documents received are processed solely in order to carry out the engagement. They are not disclosed to third parties except to the extent necessary for the work entrusted and with the client’s prior written consent: the contractor preparing a quotation receives the specification, not the file.
We do not publish client names, we do not describe completed engagements as references and we do not use material received for promotional purposes. Email is not a secure channel: for documents containing personal or identifying data we agree a dedicated channel. Documents are kept for the period required by the applicable law and are then deleted; on written request the client receives a copy of what concerns them. The data controller is SAURON LTD.
Languages and response times
- Working languages — Italian, Bulgarian and English. Instruments and documents intended for public offices are drawn up in Bulgarian; on request we provide a courtesy translation, which does not replace a sworn translation.
- Response times — We answer written requests within one working day. Reference hours: Bulgarian time (UTC+2, UTC+3 in the summer period), Monday to Friday.
- Availability during an engagement — With an engagement open, the client has a direct point of contact by telephone and by email during the stated hours. Outside those hours, requests are taken up on the first available working day.
What the method does not cover
The method describes how the company organises its own work: it is not a promise of a result. We do not guarantee the outcome of procedures that depend on public offices, on counterparties or on the third parties engaged. Tax and legal assessments are given by licensed professionals engaged by the client. SAURON LTD does not carry out reserved activities and does not hold client money.
